Practice Manager

Reception services are a critical part of the success of our practice.

The Receptionist is the frontline face of Hume Psychology, providing reassurance, warmth and support for clients.

The receptionist also provides invaluable support for clinicians and other staff.

Main Duties / Responsibilities

  • Open practice in the morning after checking appropriate tidiness and safety

  • Greet clients and visitors to the practice promptly and politely

  • Assist with maintenance and general tidiness of reception, waiting areas, kitchen and toilets.

  • Maintain a strict approach to privacy and confidentiality at all times

  • Answer phone calls and take notes in an efficient, accurate and courteous manner

  • Book appointments with the highest level of accuracy

  • Reschedule appointments when a cancellation is received in the most efficient way

  • Complete billing and invoicing as required with the highest level of accuracy

  • Receipting cheque, cash or EFTPOS payments with a highest level of accuracy

  •  Provision of general administration support for practitioners, including printing, scanning and faxing with a high level of accuracy

  • Liaise with all practice staff & practitioners in a professional manner

  • Maintain the filing system in good order and perform filing with a high level of accuracy

  • Undertake mailing procedures, including preparation of documents for mailing out

  • Perform a range of other general duties as directed by the Practice Manager

  • Adhere to workplace health and safety policies and procedures

  • Actively seek assistance, training or support as needed

 

 

Skills and Experience

  • Excellent written and oral communication skills

  • Ability to work accurately with careful attention to detail

  • Ability to perform well under pressure

  • Ability to work independently as well as part of the practice team

  • A strong and dedicated commitment to privacy and confidentiality requirements

  • Proficiency in word-processing skills using Microsoft Office products and a willingness to learn our practice management software “PracSuite”

  • Ability to meet work deadlines in a calm and professional manner

  • Certificate III in Business Administration or similar would be an advantage

  • Previous experience working in a practice administration environment would be an advantage

  • Complete administration and reception tasks to the standard requested, in a professional and timely manner

  • Accuracy in performing billing and receipting

  • Deal with clients, practitioners and practice staff calmly and professionally at all times

  • Proactive in improving practice procedures

  • Punctuality

 

Roster

We have an established fortnightly roster system. The roster for our new colleague would look like:

1. week Mon & Tue 8:45 to 5:00 

2. week Thu &  Fri  8:45 to 5:00

Later it will change to: 

1. week Mon & Tue 8:45 to 5:00, Wed & Thu 10:00 to 2:30   

2. week Tue & Wed 10:00 to 2:30, Thu &  Fri  8:45 to 5:00
